What to Expect During a Commercial Cleaning Walkthrough

A commercial cleaning walkthrough is a working conversation about the space and the service it needs. It helps a provider understand condition, access and priorities before proposing a plan. You do not need a perfect checklist, but a little preparation makes the discussion more useful.

Before the visit: gather the essentials

Identify the person who understands the building’s day-to-day operation and can explain current cleaning responsibilities. Bring operating hours, any existing task list and the areas that most need attention. Floor plans or material information can help if available.

  • Priority rooms and recurring concerns.
  • Preferred service windows and busy periods.
  • Restricted areas and access procedures.
  • Tasks your employees will retain.
  • Periodic work or upcoming changes.
  • The contact who will review the proposal.

Share sensitive access information through an appropriate secure process when needed, rather than writing it on a general visitor checklist.

During the visit: walk the actual work areas

Show the provider the spaces included in your request, not only the most visible room. Discuss surfaces, existing condition and areas that are difficult to reach. Explain how the building changes between operating hours and the proposed cleaning window.

For restaurants, connect the kitchen, dining room, restrooms and waste-handling areas as relevant to the scope. For offices, retail or warehouses, explain shared spaces, inventory or restricted equipment. The aim is to identify what can be agreed and what needs further assessment.

Ask how responsibilities will be divided

Clarify who prepares the space, who moves permitted items and which tasks require specialist attention. Ask how the team reports blocked access or work that cannot be completed as planned. Discuss who checks the result and how feedback reaches the provider.

Use specific examples: a floor edge behind stored items, a room occupied late or a restroom supply that frequently runs out. Those examples help turn a broad service request into a practical plan. Our contractor questions offer a useful starting list.

After the visit: review the written proposal

Check that the proposal reflects the rooms, tasks, frequency and constraints discussed. Look for clear exclusions and separate pricing for additional work where relevant. Ask about any item that remains ambiguous before treating it as included.

Confirm the next steps for scheduling and preparation. A walkthrough request is not itself a confirmed service appointment. Keep the agreed scope available for the first handoff and use it as the basis for later reviews if your operation changes.

Walkthrough questions

Should the building be empty?

Discuss access when arranging the visit. The provider needs to understand the operation, but some spaces may require a separate viewing window.

Will every detail be decided on the spot?

Not always. Materials, specialist tasks or access constraints may need follow-up before the scope is finalized.
